PTA President
- Attend all PTA meetings and PTA sponsored events.
- Coordinate the work of the officers and committees of the association in order that the Purposes may be promoted.
- Confirm that a quorum is present at all meetings of the association before conducting business.
- Preside at all meetings of the association.
- Appoint the chair of each standing committee and special committee, subject to the approval of the executive board, unless otherwise provided in these bylaws.
- Be authorized to sign on bank accounts, unless prohibited by terms of employment.
- Be authorized to sign contracts approved by the executive board.
- Be listed as the principal officer and be authorized to sign tax documents, unless prohibited by terms of employment.
- Appoint a member, subject to the approval of the executive board, who is not authorized to sign on the bank account to open, review, initial and date each bank statement.
- Represent the Local PTA as a delegate to Council PTA (when the Local PTA is in membership with Council PTA).
- Appoint the financial reconciliation committee, subject to the approval of the executive board.
- Serve as an ex-officio member of all committees except the nominating and financial reconciliation committees.
- Monthly meeting with Principal to review any PTA business that is to be promoted to parents or teachers on behalf of the PTA.
- Collaborate with Office Manager to discuss classroom improvements and teacher training/conferences that are to be reimbursed by the PTA.
- Responsible for creating and distributing the annual summer mailer that is to be sent to all Saigling families prior to Meet the Teacher.
1st Vice President (Aide to the President)
- Attends all monthly PTA general meetings, monthly board meetings, monthly principal meetings
- Aide to the president (unpredictability of work load and schedule for work load)
- Assists in managing any membership complaints or issues
- Shares in all duties of the president and at presidents requests
- Plans and arranges to Attends and volunteer at ALL PTA sponsored events (summer planning/ kinder roundup and supply pickup), barring emergencies
- Plans and organizes team building activities for each board meeting
- Responsible for end of year board member gifts and awards
- Plans marathon meeting luncheon in May
- Collects and is responsible for initial plan of work submissions by board members.
- Currently is speaker at General meetings
- Attends meet the teacher events
- Plans and organizes and attends and pays for summer seminar for board members
- Plans back to school party
- One of 3 Check signers
- Budget finance committee member and attends the monthly meetings
- Organizes dinners and childcare for general meetings
- Communicates with dads crew for events
2nd VP - Programs
- Chair the programs committee and be a member of any committee that falls under or is formed by this position.
- Be in Charge of all programs of the association.
- Aid the president in identifying and recruiting all program subcommittee chairs
- Attend all PTA vendor fairs or send a representative
- Coordinate all incoming programs with principal and counselor
- Meet with all subcommittee chairs to keep informed of their progress and report such progress back to the president and executive board members.
- Work with sixth vice president in publicizing programs.
- Oversee the following subcommittee chairs:
- After School Enrichment Chair
- Arts in Education Chair
- Diversity and Inclusion Chair
- 5th Grade Graduation Chair
- Parent Education Chair
- Programs Support Chair
- SAGE Chair
3rd VP - Membership
- Attend all board meetings and general membership meetings.
- Responsible for overseeing the membership of the PTA.
- Enroll members electronically and keep member list updated.
- Report and submit payment to TX PTA.
- Organize participation in the TX State sponsored membership awards competition.
- Compile information for the directory.
- Oversee the TX PTA Honorary Life awards committee.
- Be present at all PTA sponsored events to enroll new members and to answer questions about PTA.
- Be knowledgeable with membership toolkit in order to produce reports and compile data for the directory.
- Attend vendor fairs and job specific training to stay current with the changes taking place.
- Oversee any chair and subcommittee chair:
- Directory Chair
- Newcomer Chair
4th VP - Ways & Means
- Recruit and Assign all sub-chairs under Ways’ & Means immediately when taking office, and throughout the year if not filled.
- Over see the Carnival, Spring & Fall fundraiser, along with being on all committee’s formed under Ways and Means.
- Communicate committee progress to the president and EO members.
- Communicate with sub-chair members under Ways & Means regarding executive board updates, make sure sub-chairs understand and know the duties of the position they hold.
- Update Ways and Means chair members after each executive PTA board meeting.
- Be a member of the Budget Finance Committee. (meets once a month)
- Coordinate and delegate all fundraising events in the PTA.
- Work closely with the EO Board regarding timelines, set fundraising dates for the year, along with fundraisers wanted and how many.
- Ensure all fundraisers are adopted by membership.
- Oversee the following sub-chairs
- Book Fair
- Box tops 4 education
- Community Partners (Spirit Nights)
- School Spirit Wear
- School Store
- School Supplies
- Silent Auction
- Year Book Chair
5th VP - Volunteers
- Attend all board meetings and take responsibility for organizing volunteers for PTA events, and represent Chairs at meetings.
- Oversee all volunteers and regulate background checks for the year.
- Organize lunch and refreshments for volunteers out of Volunteer Appreciation budget.
- Reward volunteers with VOM (Volunteer of the Month) and deliver yard signs.
- Reward Staff Volunteer of the Month and deliver room signs.
- Oversee and Communicate at all times with the following subcommittee chars:
- Community Outreach Chair
- Environmental Chair
- Health and Wellness Chair
- Kindergarten Coordinator Chair
- Library Volunteers Chair
- Lunchroom Volunteers Chair
- Office Aides Chair
- Room Representatives Chair

6th VP - Communications & Webmaster
- Attend all PTA Board meetings
- Promote and heighten awareness of PTA and school sponsored meetings, events, and activities within Saigling community not only in the PTA Website but also on social media in order to inform Saigling’s community of PTA and school events and important information in PTA Website and Social Media.
- Work with each Board member, Principal, Teachers, Counselor, and Nurse as well as PTA Council on an ongoing basis to gather information to be published.
- Maintain an updated website and social media on a regular basis. Make sure PTA Website is user friendly and attractive website targeted to Saigling’s community audience.
- Know WHO, WHAT, WHEN, WHERE and WHY so it can be shared with the Saigling community avoiding confusions.
- Prepare news alerts and press releases in an informative but simple style, which meet the needs of Saigling’s community.

Clear all news releases with the president prior to sending them to the media.
- Oversee and Communicate at all times with the following subcommittee chairs:
- Marquee
Treasurer
- Attend all board meetings and general membership meetings.
- Have custody of all the funds of the association.
- Serve as the chair of the budget and finance committee.
- Present a written and verbal financial report at executive board and association meetings and as requested by the executive board or association
- Make disbursements in accordance with the budget adopted by the association.
- Maintain books of account and records including bank statements, receipts, budgets, and invoices, paid receipts and canceled checks in accordance with the records retention policy.
- Be authorized to sign on bank accounts.
- Be authorized to sign tax documents, if the president is prohibited by terms of employment.
- Present a preliminary annual report, i.e. budget to actual, at the last association meeting.
- Complete and file all necessary tax documents.
- Present books of account and records to the financial reconciliation committee.
Secretary
- Attend all Board and General PTA Meetings
- Record and maintain the minutes of all meetings of the general members and executive board
Parliamentarian
- Advises on questions of parliamentary procedure, responsible for maintaining the association's Bylaws and Standing Rules, Chairs Bylaws Review Committee and updates annually as needed, Member of Executive board, appointed by President, does not vote.
Hospitality Chair
- Coordinates luncheons or other events for faculty and staff throughout the year, coordinates activities during Teacher Appreciation Week, works within a budget, member of Executive Board.
